Suppliers

Supplier Portal

One web portal where factory teams in Asia submit documents, check schedules and ask questions — in English or Chinese.

Challenge

Partner factories in China and Vietnam for a U.S. consumer-products manufacturer and distributor had to jump between forms and documents in the company's work-management tool (ClickUp) to submit materials. Items went missing, versions got mixed up, and with little guidance in Chinese the same questions came up again and again.

What I built

I kept ClickUp as the single source of data and put a supplier-only web portal on top of it. Suppliers sign in with their supplier ID and a six-digit code sent to their registered email (no passwords), search an English/Chinese guide, submit labels, packaging SOPs, carton marks, samples, quotes and self-inspection reports through forms, and see their own POs and inspection schedule. Conversations with staff sync both ways with ClickUp task comments.

Outcome

Submissions now follow one path and guidance arrives in the supplier's own language. A daily summary email, a phone home-screen app and short how-to videos let new factories get started on their own.

My role

Problem definition and priorities; business rules and the source of truth (the contact list as the single source of supplier IDs, "ClickUp access = portal access", a separate ID for the overseas entity, operating values kept in settings rather than code); approving the permission design; reviewing screens and testing in the field; onboarding and supporting suppliers. Implementation was done with AI (Claude) across several parallel workstreams, and every release followed an approve–lock–back up–roll back procedure.

  • My POs and inspection schedule
  • Two-way sync between staff messages and ClickUp comments
